Booking & Cancellation Policy

Booking & Deposits

• A £20 deposit is required to secure all individual appointments.
• Your deposit will be deducted from the total cost of your appointment, with the remaining balance payable on the day of treatment.
• Your appointment is not confirmed until the required deposit has been received.
• Appointments booked as part of a prepaid treatment package do not require an additional deposit.

Cancelling or Rescheduling

• I understand that plans can change. If you need to cancel or rearrange your appointment, please provide at least 24 hours' notice.
• With at least 24 hours' notice, your deposit can be transferred to a rearranged appointment or refunded.
• For appointments cancelled or rearranged with less than 24 hours' notice, the £20 deposit may be retained to cover the appointment time that has been reserved for you.

Treatment Package Appointments

• Appointments booked as part of a prepaid treatment package are also subject to the 24-hour cancellation policy.
• With at least 24 hours' notice, your appointment can be rearranged without affecting your remaining package sessions.
• For late cancellations or rescheduling with less than 24 hours' notice, one session may be deducted from your package where the appointment time cannot reasonably be filled.

Missed Appointments

• If you do not attend your appointment and have not contacted ECM Physiotherapy beforehand, this will be treated as a missed appointment.
• For individually booked appointments, your deposit may be retained.
• For prepaid treatment packages, one session may be deducted from your remaining package sessions.
• A new deposit may be required before another individual appointment can be secured.

Late Arrival

• Please arrive on time for your appointment.
• If you arrive late, your appointment will normally still finish at the original scheduled time so that subsequent patients are not delayed. The full appointment fee will remain payable.
• If you arrive too late for treatment to be carried out safely or appropriately, the appointment may need to be cancelled and treated in accordance with the late-cancellation policy.

Illness & Exceptional Circumstances

• I appreciate that genuine illness, emergencies and unexpected circumstances can occur.
• Please contact ECM Physiotherapy as soon as possible if you are unable to attend. Exceptional circumstances will be considered on an individual basis, and any cancellation charge may be waived where appropriate.
• If you are experiencing symptoms of a contagious illness, please contact ECM Physiotherapy before attending your appointment.

Cancellation by ECM Physiotherapy

• On rare occasions, ECM Physiotherapy may need to cancel or rearrange an appointment.
• If this happens, you will be offered an alternative appointment. Any deposit already paid can be transferred to your new appointment or refunded in full if you do not wish to rearrange.
